Privacy Policy — Refund Guard

This Privacy Policy describes how Refund Guard (“we”, “us”, “our”) collects, uses, and protects information when you install and use the Refund Guard application (“App”) on your Shopify store.

1. Who we are

Refund Guard is operated by the developer of the App. For privacy-related questions, contact us at lilee501@gmail.com.

2. Information we collect

• Store information: shop domain, shop name, currency, timezone, locale, and OAuth credentials needed to run the App.
• Order and refund data: order identifiers, order names, refund amounts, payment gateway, fee estimates, refund types, and related metadata obtained from Shopify webhooks and API calls.
• App configuration: alert thresholds, fee rate profiles, order exclusion rules, notification settings, and customer message templates you save in the App.
• Alert email address: if you enable email alerts, the email address you provide.
• Billing information: subscription status is managed through Shopify App Billing; we do not store your payment card details.
• Technical data: server logs and error reports used to operate, secure, and improve the App.

3. How we use information

• Estimate and display non-refundable payment processing fees
• Record refund events and show analytics in the merchant dashboard
• Send email alerts you configure (Pro plan)
• Process exports and background sync tasks you request
• Manage your subscription through Shopify
• Maintain security, prevent abuse, and troubleshoot issues

We do not sell your personal information.

4. Legal bases (where applicable)

We process data to provide the App under our agreement with you, to comply with legal obligations, and for legitimate interests such as securing and improving the service.

5. How we share information

• Shopify: the App integrates with Shopify APIs and runs inside the Shopify Admin.
• Service providers: hosting, database, and email delivery providers that help us operate the App.
• Legal requirements: when required by law or to protect rights and safety.

We do not share merchant data with advertisers.

6. Data retention

We retain store and refund analysis data while the App is installed and as needed to provide the service. When you uninstall the App, OAuth credentials are removed. We respond to Shopify mandatory privacy webhooks, including customer data requests, customer data erasure, and shop data erasure (shop/redact), as configured in our App settings.

7. Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of personal data. Contact lilee501@gmail.com to make a request. Merchants can also use Shopify’s tools to handle customer privacy requests.

8. Security

We use reasonable technical and organizational measures, including HTTPS and access controls. No method of transmission or storage is completely secure.

9. International transfers

Data may be processed in countries where we or our service providers operate. We take steps designed to protect your information consistent with this policy.

10. Children

The App is intended for merchants and is not directed at children.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the App after changes means you accept the updated policy.
